Position Description:

The primary purpose for this position is to supervise clerical staff and coordinate office services in a district sales office including ticket sales and claims, secretarial services, mail, shipping and receiving, equipment maintenance, and other related services.

Required Education:

High School Degree (or GED) required.  Associate's degree in Business Administration or Marketing preferred.

 

Required Experience:

Three to five years of office management or administrative experience; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.

 

Must have good customer service skills. Must be proficient in Microsoft Word and Excel.

 

 

Responsibilities:

The following duties are normal for this job and should not be construed as exclusive or all-inclusive.  Other duties may be required and assigned.

 

  • Instructs and counsels staff in coordinating activities, planning work of others and day to day operations
  • Serves as the district's property custodian, maintaining appropriate files and records
  • Performs daily cash reconciliation from the sale of lottery tickets and products, and makes deposits
  • Sells lottery tickets, handles cash, redeems winning tickets for walk-in customers, processes/reviews and approves player's winning claims
  • Reviews and coordinates implementation of rules, regulations, policies and procedures, as directed by the District Manager and corporate headquarters
  • Performs inventory control duties including ensuring adequate levels of office supplies are maintained, orders, receives and accounts for supplies
  • Establishes and maintains contact with various corporate departments
  • Operates computer and software to type documents, verify, input, retrieve data, and generate a variety of reports
  • Types correspondence, memos, reports, and other documents
  • Ensures adequate levels of postage and related shipping supplies are maintained
  • Ensures the operation of office equipment, calling for maintenance as needed and scheduling preventative maintenance
  • Organizes, develops and implements recording and filing procedures
  • Receives, unloads and stores tickets, Point-of-Sale items and other related items
  • Serves as District Liaison for human resource functions as directed
  • Responds to questions, complaints and requests for information by email, telephone, in person or by mail from retailers, players, employees, department heads, etc.
  • Answers telephone utilizing accepted format; provides information, advice, and guidance; takes and relays messages and/or directs calls to appropriate personnel
  • Responds and corrects situations that arise in regard to employee problems
  • Prepares, maintains and updates files and logs following prescribed methods
  • Must have good customer service skills. Must be proficient in Microsoft Word and Excel
